There’s Money On The Table: Amazon FBA Refunds

Selling on Amazon can be extremely profitable, especially when you use their Fulfillment by Amazon (FBA) program. However, as your Amazon business grows, discrepancies with FBA can impact your profits if left unchecked.

Staying on top of everything from damaged goods to overcharged fees can be tough as your business grows quickly. But what if you could turn these common issues into opportunities to increase profit?

By understanding Amazon’s FBA refund policy and process, you can transform reimbursements into fuel for innovation and evolution. And with a platform like Getida supporting you, reimbursements can make a real difference. Let’s learn how.

What Are Amazon Refunds for FBA Sellers?

Amazon FBA refunds are reimbursements provided to third-party sellers using the FBA program when there are issues with (but not limited to):

  • Damaged inventory

  • FBA fee overages

  • Amazon FBA inbound shipments

  • Customer orders and returns

These refunds can significantly impact your profit margin. In fact, your Amazon FBA refunds can amount to anywhere from 1% to 3% of your annual FBA revenues.

So, if you’re making two million dollars, you could be losing up to $60,000 if you’re not on top of recovering these reimbursements. Those are substantial funds that could otherwise be reinvested to your Amazon business and drive further growth.

Amazon FBA seller refunds can be broadly categorized into two main types:

  • Inventory-related: Inventory-related refunds cover issues such as damaged or unaccounted items, restocking fees, and warehouse losses.

  • Order-related: Order-related refunds generally involve customer returns, where the seller should be refunded for the value  of the returned product (under certain circumstances).

To effectively manage Amazon FBA refunds, you must proactively track your inventory for discrepancies and promptly submit refund claims to Amazon for any eligible issues.

What Are the FBA Refund Categories?

You might be wondering which scenarios merit an FBA refund, and here we’ll look at five of the main FBA refund types. If you wish to ensure that you do not leave any money on the table, you can seek the services of a company such as GETIDA where the entire FBA refund process is handled for you. We’ll talk more about this later.

First things first: the five major areas of loss for FBA sellers are:

  • Damaged stock

  • Lost stock

  • Amazon fee overcharges

  • Returned stock

Let’s take a closer look at each of these situations.

Damaged Stock

You probably have no trouble imagining how inventory might become damaged in a large Amazon fulfillment center. However, damage can also occur when your products are in the care of Amazon’s shippers.

In your Seller Central account, you’ll be able to view details of any damaged items in the “Damaged Inventory Report.” Whenever a product is damaged on its way to the Amazon warehouse, in the Amazon warehouse, or en route to the customer, this report should note the damage. This report also includes records of any products that have gone missing from the fulfillment center in the last 30 days.

Lost Stock

Sooner or later every Amazon seller has the disappointing experience of their inventory getting lost. This can be discouraging, especially after you have taken great care in selecting, sourcing, and promoting your products.
Products can get lost when shipped to the Amazon fulfillment center, or while in the warehouse. This could be due to inventory being added to another seller’s account, or a mishandling of barcodes.

Products can get lost when shipped to the Amazon fulfillment center, or while in the warehouse. This could be due to inventory being added to another seller’s account, or a mishandling of barcodes.

Thankfully, a record of losses over the past 18 months is documented in Amazon’s inventory reconciliation reports. GETIDA can be especially helpful in this situation with its expertise in seller account auditing. You might be able to skip the tedious task of going through a year and a half of data in order to get your FBA refund.

Amazon Fee Overcharges

Fees are an inevitable part of life for an FBA seller, but that doesn’t mean you should be overcharged. Amazon might accidentally charge you incorrect fees on shipping or storage, and when this occurs, you can file for an FBA refund.
For example, if Amazon uses inaccurate measurements or weights to calculate your shipping fees, you might receive several overcharges as that item is shipped. When filing for an FBA refund in this situation, you take care to provide the correct product dimensions and weight so that Amazon can correct the product details.

Returned Stock

Customer returns are another regular occurrence for FBA sellers, but when part of the process is not managed properly by Amazon, you should claim an FBA refund. In order to find out if your account has any returns-based discrepancies, you’ll need to complete an audit of your data.

You might find that a customer returned the wrong item, and Amazon accepted it, or that an item was returned in a damaged state. In some situations, customers are refunded more money than they paid, or they are issued a refund, but never sent the item back.

In each of these cases, you could file a claim for an FBA refund. The amount of money you could be owed in this category might surprise you.

What is the Amazon Refund Policy?

The Amazon Refund Policy is designed to provide customers with a convenient return experience. Industry estimates suggest that about 1 in 5 e-commerce purchases end up being sent back. And unfortunately, FBA sellers like you aren’t immune to the potential affects of this trend.

When a product is returned, Amazon will:

  • Put it back in your active FBA inventory if it’s in resellable condition

  • Refund the full purchase amount to the customer.

However, if the item is not resellable, Amazon may reimburse you for the value of the item through their FBA Reimbursement Policy.

Sometimes, Amazon may automatically reimburse you, but you’ll likely need to submit a claim in some cases. Some key things to know:

  • Amazon will reimburse you if the item was damaged due to their fulfillment process.

  • Customers who don’t return the item may still trigger a reimbursement.

  • Depending on the specific circumstances, you have a timeframe ranging from 60+ days up to 18 months to file a customer return claim.

As an FBA seller, you must understand the potential impact of returns on your business.

Things like refunds, restocking fees, and unsellable inventory can affect your bottom line. That’s why clear return strategies, quality products, and great customer service are so crucial for FBA success.

How Amazon Classifies FBA Returns

When a customer returns an item, Amazon first assesses its condition to determine if it is still sellable or unsellable.

The main return classifications are:

Sellable

If an item is classified as “Sellable” by Amazon, it means the returned product is still in good, resellable condition. In this case, Amazon will simply return the item to your active FBA inventory.

While Amazon’s “Sellable” designation indicates the item meets their requirements, your own quality standards may differ – especially for specialized product categories.

You can use the FBA customer returns report to understand why a “Sellable” item was returned in the first place. Some common reasons include:

  • Ordered Wrong Item – The customer received a different product than they intended to purchase.

  • Found Better Price – They found the same item listed for less elsewhere.

  • Missed Estimated Delivery – The order took longer to arrive than expected.

  • Switcheroo – The customer sent back a different item than the one they received.

  • Unwanted Item – They simply changed their mind and no longer want the product.

  • Apparel Too Small – For clothing items, the size didn’t fit the customer.

If you do want to re-inspect a “Sellable” return before relisting it, you have a couple of options:

  • Submit a removal order to have the item shipped back to you (for a per-item fee).

  • Create a removal order to have Amazon dispose of the item entirely.

Damaged

Items classified as “Damaged” cannot be resold due to their condition. If Amazon is responsible for the damage, you’ll be eligible for reimbursement.

For example, if the product was damaged during transit or while in Amazon’s care, the responsibility falls on Amazon, and you can claim reimbursement.

However, if the damage is deemed your fault, such as improper packaging or sending a defective item to Amazon, you will not receive a reimbursement.

Customer Damaged

The “Customer Damaged” classification does not necessarily mean that the customer intentionally or accidentally damaged the product after receiving it.

In some cases, it can simply indicate that the outer packaging has been opened or that the product is in a condition other than brand new.

When an item is classified as “Customer Damaged,” it will not be returned to your sellable inventory. In such cases, creating a removal order and having the item returned to you for inspection is advised.

Carrier Damaged

If an item is classified as “Carrier Damaged,” it means that the product was damaged during transit by the shipping carrier (e.g., UPS, FedEx, USPS). You should be eligible for reimbursement in such cases, as the damage was not your fault or that of Amazon.

Defective

When an item is returned as “Defective,” it means that the customer has reported the product as faulty or defective. The customer is refunded in this case, but the item remains in your inventory and is marked as “unsellable.”

The best course of action for “Defective” returns is to create a removal order and have the item returned to you for inspection. Sometimes, customers may claim an item is defective to receive free return shipping, even though the product is in perfect condition.

After inspecting the item yourself, you can determine if it can still be resold and, if so, send it back to Amazon as sellable inventory.

How Will You Manage Your FBA Refunds?

You might be starting to look forward to seeing your FBA refunds flow in, but first, you need to decide how you will approach filing your claims. It is important to consider the needs of your business as you choose the option that fits best. Let’s take a look at some options:

Claim Independently

You might opt to learn how to file your FBA refund claims yourself, especially if you are just starting out. Keep in mind that the process of auditing your seller account can be time-consuming and any gaps in your knowledge of the process could mean missing out on cash.

As an entrepreneur, your time is a resource to your business, and there might be other areas of your FBA enterprise that require your personal touch more urgently.

Enlist a Virtual Assistant (VA)

Growing FBA businesses make delegation a necessity, and you may already be using the services of a VA for some tasks. When outsourcing your FBA refund claims to a VA, remember that their level of experience could directly impact your bottom line, and if they miss any potential refunds, you’ll never see that money again. Any VA must be trustworthy, but this is especially true for those who file your FBA refund claims as they will have access to your account details.

Frequently Asked Questions (FAQs)

To further clarify the intricacies of Amazon FBA refunds, let’s address some frequently asked questions from sellers.

What Are the Eligibility Criteria for Receiving an FBA Refund?

Here are the main eligibility criteria for receiving an FBA refund:

  • The item must be registered in FBA when damaged/lost

  • Must comply with FBA requirements

  • Accurate shipping plan quantities

  • Shipment not canceled or deleted

  • Item not pending or approved for disposal

  • Item is non-defective

  • Seller account in normal status

How Long Does It Take to Process an Amazon FBA Refund?

The time to process an Amazon FBA refund varies case-by-case. Amazon typically reimburses you within 1-45 days.

If a refund is not automatically processed after 45 days or more, you may need to open a support ticket to receive the refund. For certain claim types, it is recommended to wait 30 to 75 days from the date of the error to give Amazon sufficient time to process the refund.

The timeframe can also depend on whether the returned item is deemed sellable or unsellable by Amazon, as they will need to determine who was responsible for any damage before issuing a refund to you.

Can I Appeal a Denied FBA Refund Request?

Yes, you can appeal denied requests by providing additional evidence to support your case through Seller Central. Properly reply to the case, and Amazon will review and make a final reimbursement decision based on the validity of the claim.

You need to document and present a strong case when appealing a denied refund request, as this process provides an opportunity to rectify any potential errors or misunderstandings.

What Documentation is Required to File an FBA Refund Claim?

Required documents include:

  • Tracking ID

  • Signed Bill of Lading (BOL)

  • Original purchase invoice

  • Proof of inventory ownership

  • Photographic evidence of damage

This documentation is necessary to support FBA refund claims so Amazon can efficiently process reimbursement requests.
